Software Stack Audit

Short answer

A paid review of the software your business pays for. We compare each tool's plan with what your team uses and with the verified prices in the Vetted SaaS Price Index, then list the changes that save money, in priority order. From $199, with the written report within 5 business days.

Last updated · Last verified

We take 4 audits a month. 4 slots are open this month.

Why stacks drift

A tool bought for one project stays on the card. Seats outlive the people who used them. Two teams pay for tools that do the same job. And for many tools in the Price Index, paying month to month costs more than the annual plan you would have kept anyway.

Nobody owns the full list, so nobody checks it against what each plan costs today. The audit does that once, with prices you can verify yourself.

What you get

  1. 01

    Current spend against needs

Every tool you pay for, its plan, seats and monthly cost, next to what your team uses it for.

  2. 02

    Overlap and waste

Tools that do the same job, seats nobody uses, and plan tiers bought for a feature nobody turned on.

  3. 03

    Cheaper equivalent plans

For each tool, the cheapest plan that still covers your use, priced from the Price Index with its source and check date.

  4. 04

    Automation opportunities

Manual steps between your tools that a workflow could take over, with the tool you already pay for where possible.

  5. 05

    Prioritized savings actions

A ranked list: what to change, what it saves at published prices, the effort, and what must be true before you act.

Independence

Recommendations are not influenced by affiliate relationships. We recommend on cost and fit only, including when the right answer is a free plan or a tool with no affiliate program. If a report contains an affiliate link, it is labelled as one, with a plain link to the vendor next to it. See our affiliate disclosure.

Demonstration content

Sample report for Juniper Lane Studio, a fictional six-person interior design studio. The business, its seat counts and its usage are made up to show the format; it is not a client. The prices are real: each one comes from the Vetted SaaS Price Index and links to the vendor's own pricing page.

US dollars per month before tax. Annual plans are shown at their published per-month price. A real report also lists what each person uses each tool for.

2. Overlap and waste

  • Notion: Every seat is used daily and the studio has run on Notion for three years, but it still pays month to month.
  • ChatGPT: Four designers use it for briefs and client emails. No cheaper plan in the index covers the same use.
  • Perplexity: Both Pro users also hold ChatGPT Plus seats and use Perplexity a few times a month for supplier research.
  • QuickBooks Online: The bookkeeper uses invoicing, bills and bank feeds. Project tracking, the main reason for Plus, was set up once and never used.
  • Zapier: One person builds and edits every Zap, and the account runs about 1,600 tasks a month. Team's shared workspace is unused.
  • Canva: Two people make client mood boards weekly. Pro accounts are already the cheapest paid option for that.

3. Prioritized savings actions

  1. QuickBooks Online: move to Essentials (saves $55 a month; medium effort). If no feature the studio uses is listed only for Plus on Intuit's plan comparison. Check with the bookkeeper first.
  2. Perplexity: move to Free (Standard) (saves $34 a month; low effort). If both users confirm ChatGPT covers their research. Downgrade at the next renewal, since the year is prepaid.
  3. Zapier: move to Professional (saves $30 a month; medium effort). If one person keeps owning the Zaps. Professional is a one-seat plan at the same 2,000-task tier.
  4. Notion: move to Business on annual billing (saves $24 a month; low effort). Only if the studio is confident it keeps Notion for the next 12 months.

Together: $143 a month, or $1,716 a year at today's published prices, if every condition holds.

4. Automation opportunities

  • New client enquiries are copied by hand from the website form into a spreadsheet. The free lead form to CRM template does this as an n8n workflow; the report weighs that against building the same step in the studio's Zapier account.
  • Google reviews go unanswered for weeks. The free review reply template drafts a reply and waits for a person to approve it.

How it works

  1. Day 0. Choose an audit and check out, then send the intake form. It takes about five minutes.
  2. Within 1 business day. We confirm the scope and may ask for plan names, seat counts or a recent invoice. Never passwords or account access.
  3. Within 5 business days of your details. You receive the written report.
  4. Full Audit only. A 45-minute call to walk through the findings and answer questions.

Intake form

Send this after checkout, or before it if you have a question about fit. Plain answers are fine.

Questions

What do you need from me?
The intake form: what the business does, team size, the tools you pay for and what you want to change. After you check out we may ask for plan names, seat counts or a recent invoice for each tool. You never share passwords or give us account access.
Where do the cheaper plan prices come from?
From the Vetted SaaS Price Index, where every price links to the vendor's own pricing page and shows the date we last checked it. For a tool outside the index we check the vendor's current pricing page during the audit and cite it in the report.
Do affiliate commissions affect the recommendations?
No. Recommendations are made on cost and fit only. If a report links to a vendor through an affiliate link, that link is labelled as sponsored in the report, and a plain link to the vendor is always next to it.
Do you promise a specific saving?
No. The report shows what each change would save at the vendor's published prices, and some stacks are already a good fit. In that case the report says so.
What happens when this month is fully booked?
We take a small number of audits each month so each one gets proper attention. When the month is full, the page shows a waitlist form instead of checkout, and we email you when a slot opens.
