The flow
Who it is for
Small businesses that take card payments in Stripe and re-key them into QuickBooks Online.
Human approval
None needed: AI writes nothing a customer sees here. Customer emails are fixed text you edit in the workflow.
When something fails
The QuickBooks call is retried 3 times; if it still fails you get an email with the charge ID and amount to record by hand, and no thank-you is sent.

Running cost estimate
At 100 card payments a month: 100 executions a month fit n8n Cloud Starter (2,500 executions a month): €20/mo billed annually. Last verified on n8n's pricing page.
One run is one n8n execution, however many steps or waits it has. The cost of the apps themselves is separate (see QuickBooks Online pricing). Make: no estimate until the Make version exists, because Make bills per module action.

Setup overview
- In n8n, open Workflows, choose Import from File, and select n8n.json.
- In QuickBooks, create (or pick) the service item and the customer you want Stripe sales booked against, and note their IDs and your company (realm) ID.
- Open Configure me and enter those IDs, your business name and your email. Keep the sandbox base URL until a test passes, then switch to https://quickbooks.api.intuit.com.
- Create credentials: Stripe, QuickBooks Online OAuth2 and Gmail. Select the QuickBooks credential in the Create sales receipt node.
- Run one test with your own data, check every step's output, then switch the workflow to Active.
Known limits
- n8n's QuickBooks node has no sales-receipt operation, so this step calls the QuickBooks Accounting API through the HTTP Request node with your QuickBooks credential.
- Amounts are divided by 100, which is right for two-decimal currencies (USD, EUR, GBP) and wrong for zero-decimal ones such as JPY.
- Duplicate protection remembers the last 500 charges only while the workflow is active.
Platform status
- n8n
- Workflow file ready. n8n-mcp 2.94.0 validate_workflow (strict profile): 0 errors (Oct 17, 2026). Validation is not a live run.
- Make
- Make version in progress: blueprints are published only after they pass Make's own validator.
